Users and assignments

Every person who uses QuoteXelerator needs an assignment. The assignment sets their role and the recipes they can use.

Choosing a role

  • Representative for anyone who builds quotes. Most of your team.
  • Manager for people who decide on pricing. Managers can change recipes and approve requests.
  • Owner is not assigned. The first person to install the app becomes the owner.

If a representative should work with more of your business, give them more recipes. Only make someone a manager if they should be allowed to change pricing rules and approve prices.

Managers without an additional permission still see the drift, reserve and customer language settings. They just cannot change them.

Each portal has exactly one owner. People who install the app after the owner become managers automatically.

Assign a person

  1. In the app settings, open User & Permission Assignments.
  2. Choose Create Assignment and pick the person.
  3. Choose a Role.
  4. For a representative, select the Recipes they may use, or switch on Access all recipes. Managers always see all recipes.
  5. Save.

Saving replaces the person's previous assignment. To add a recipe for someone who already has two, select all three.

The change applies the next time the person opens the card. People without an assignment cannot use QuoteXelerator. They see a message asking them to contact their supervisor.

Transfer ownership

Only the owner can transfer ownership, and only to a manager.

  1. Open User & Permission Assignments and choose Transfer Ownership.
  2. Pick the manager who takes over and choose Confirm Transfer.

The transfer takes effect after at least 24 hours, when our daily run processes it. Until then, you can stop it with Cancel Transfer. Only one transfer can be pending. Starting and cancelling a transfer are recorded in the compliance log.

Transfer ownership before the owner leaves. Nobody else can start a transfer. If the owner's HubSpot account is already deactivated, write to contact@quotexelerator.com. Recipes, deals and the compliance log stay as they are either way. Vendor tokens are personal, so the new person adds their own.

Additional permissions for managers

A manager runs pricing day to day. Two things stay with the owner, though: selling below cost, and the portal-wide currency and notification settings. The owner can hand either one to a specific manager without making them the owner.

  • Owners always have both permissions. There is nothing to grant them.
  • Representatives cannot get them. Make the person a manager first.
  • You give a permission to each manager separately. One manager can hold both.
  • A permission only works while the person is a manager. If you change their role, it stops working.

Negative-margin override

With this permission, a manager can request a target price that takes a deal below zero margin. On the deal card they enter a Reason for negative-margin bypass of 10 to 500 characters before they can submit.

What stays the same:

  • The request still needs approval. The owner or another manager decides on it, because managers cannot approve their own requests.
  • The reason, the role and the margin are recorded in the compliance log.

A manager without the permission sees Your role does not permit negative-margin deals and cannot submit. That attempt is recorded too.

Acts on the owner's behalf

The full name in the app is Acts on the owner's behalf for FX configuration and reserve governance settings. Give it to the manager who looks after currency. That manager can then:

  • change the threshold under FX Drift Notifications and the levels under Reserve governance on the Currency Reserves tab
  • add and remove FX drift recipients and Reserve responsibles on the Notifications tab, and be on those lists
  • set the default Customer presentation language on the Preferences tab

Only the owner and managers with this permission can receive the drift and reserve emails.

It does not cover the change-notification email addresses, the Compliance Logs tab, assigning managers, giving permissions or transferring ownership. Those stay with the owner.

Give a permission

Only the owner can do this.

  1. In the app settings, open User & Permission Assignments and scroll to Additional Permissions.
  2. Choose Add Permission.
  3. Under Grantee (manager), pick the manager. The list only shows managers.
  4. Under Grant type, pick the permission.
  5. If you like, add a Note of up to 500 characters, for example why you gave it. Only owners see the note.
  6. Choose Create grant.

The permission shows up under Active grants. The manager can use it the next time they open the deal card or the app settings.

Take a permission back

  1. Open Additional Permissions again.
  2. Under Active grants, choose Revoke next to the permission.

It stops working right away. A request sent from a card that was already open is refused. The permission moves to Revocation history. Permissions never expire on their own. Giving and revoking are both recorded in the compliance log.
